Make a task plan - Top 10 things the most profitable agents are doing

Setting up a task plan as an estate agent is crucial for maintaining efficiency, organisation, and client satisfaction, as Reapit’s Bernadette Sheridan and Shaun Crowe explained during our recent webinar: Top 10 things the most profitable agents are doing.

As a busy estate or letting agent, you don’t get the luxury of focusing on one task at a time. There are always different tasks at different stages to manage, not to mention colleagues and clients adding more to your inbox every day. Without a system, it’s easy to get swamped – wasting effort or missing out on conversion opportunities because admin got in the way.

Shaun Crowe, Reapit’s lead training consultant, says that a consolidated digital task planning system is much more efficient than keeping ad hoc records – or worse, paper.

“My theory is, why write anything down on a piece of paper?” he says. “We know information gets lost. Or we write so many notes that we can’t find anything any more.”

Reapit users have access to Reapit’s streamlined task management system, which helps agents keep track of their responsibilities. By setting up tasks, agents can automate reminders for various activities, ensuring nothing falls through the cracks. For instance, when an offer on a property is accepted and marked as sold subject to contract, a task can be automatically triggered for the sales progression team to make an introductory call the following day. And automated tasks can be triggered by completing tasks in Reapit too, so after the initial call is done, the system can automatically schedule a follow-up.

Moreover, Reapit's task system allows for collaborative efficiency. Agents can view not only their tasks but also those of their colleagues. This is particularly useful when a team member is out of the office, as other agents can step in to ensure their tasks are completed. Users can also assign tasks to other colleagues. This keeps workflows flowing and prevents delays, which is vital in a fast-paced agency.
